As your property management team, our full intent and purpose is to offer the most comprehensive and steadfast support in all concerns of the management of your property. 

From maintenance and care of the property to finances, legal, insurance and capital improvement needs, Pro Staff’s dedicated team of experts are always here to help.     


  • We provide complete supervision of your property maintenance, care and appearance.
  • We provide weekly inspections of all common areas to determine if any repairs are necessary and arrange for regularly-scheduled maintenance for all common elements.
  • We will promptly respond to all maintenance requests and emergencies in a timely manner. We are available on a 24-hours-a-day, seven-days-a-week basis. 
  • We will send each homeowner a monthly statement and collect the monthly HOA dues for deposit into the HOA’s bank account. 
  • We will collect all incoming bills/invoices and ensure that they are paid on time. 
  • Each month we will provide you with a financial compilation report that will include a Statement of Revenue and Expenses, Statement of Assets Liabilities, an Accountants Compilation Report, and the HOA Bank Reconciliations.
  • We will bring to the attention of the Board any conditions of disrepair of a serious nature or which may require substantial capital expenditures. 
  • Separate from any of the Association’s files, we collect and keep all contracts, specifications, invoices, repair receipts, and/or capital improvements that come into its possession as well as maintain its own records of repairs, maintenance or capital improvements performed for the Association.
  • We will aid the Board’s accountant in the preparation of a Schedule for Reserve and submit it to the Board on a yearly basis.
  • We will select suitable and competent contractors, and repairmen to perform the routine maintenance and repairs for the Association. 
  • We will accept bids and specifications on behalf of the Association for any annual repairs/maintenance contracts and/or capital improvements which require substantial capital expenditures. We then submit the bids to the Board, who shall select the contractor or repairmen to perform the desired work.
  • Regarding any substantial capital expenditures, we will interview each contractor and repairman prior to his performance of any work on the premises, to ensure the contractor has adequate workman’s compensation and liability insurance. No workman will be allowed to perform any substantial capital expenditure services for the Association without such protections. 
  • The termination of the services of any contractor or repairmen may be necessary for failure to properly perform the work they were hired to do; however, termination will not take place without prior Board approval.
  • We will oversee and supervise all work including but not limited to scheduled maintenance, individual repair, and/or capital improvements performed by all contractors or repairmen. Any deficiencies in the quality of work performed or deviation from the specifications or contract provisions by a contractor or repairman will be brought to the attention of the Board.
  • The Board will be provided a written progress and completion report of maintenance, repairs, and/or capital improvements performed for the Association.
  • At the Board’s request, we will aid in the organization of annual meetings and actively participate in two Homeowner’s Association meetings per year and four Board meetings per calendar quarter. 
  • We will assist the Board in the administration of the provisions of the Association documents and its policies, rules, and regulations contained in the Board Resolutions. We will also provide memorandum support with respect to promulgating routine operation regulations and resolutions in the form of conceptualizing and drafting input if these responsibilities do not include any legal research or architectural drafting.
  • When they come to our attention, we will inform the Board on a continuing basis concerns of legislation decisions, tax rulings, insurance, and financial practices pertaining to the Association.
  • We will investigate and make a full report on all accidents, claims, and potential claims for damages relating to the ownership, operation and maintenance of the Association premises including any damage to or destruction of the Association premises and the estimated cost of repairs. We shall meet and fulfill all requirement’s applicable to the loss of claims imposed under the insurance policy or policies covering the loss of claims.
  • On a yearly basis, we will shop for and accept property insurance bids from numerous insurance providers to submit to the Board to ensure that the HOA is getting the best coverage for the monthly premium. We will enter into binders or other interim insurance contracts necessary to prevent the Association from a lapse of coverage.
